Approval Data

Supported only in FCP-Suite and FCP-SE.
Approval Data provides dedicated storage and viewing areas for approval workflows. It contains two separate storage spaces, a staging area and a download area, to support data management needs at different stages of the approval process, along with permission control and operation auditing.
Staging area
- Stored content: Temporary data files generated during approval.
- Permissions:
- Approvers can view the file list in this area.
- No users can delete data in the staging area.
- The UI does not support viewing file contents (list view only). To view file contents, follow the instructions in Approval Policy.
- Use case: Stores data files that are still in the approval process and not yet fully approved.
Download area
- Stored content: Data files that have completed approval and are ready for download.
- Permissions:
- Users with the appropriate permissions can view the file list.
- Users with the Approval Data Management permission can delete data in the download area.
- Viewing file contents is not supported (list view only).
- Use case: Stores final data files that have been approved and can be downloaded.
Search
- Search by file name (Approval ID) and requester.
- Search scope is limited to areas the current user is permitted to view (staging or download area).

Permission notes
- Approver: After a user is configured as an approver, the platform automatically grants staging area list-view permission without additional role assignment.
- Approval Data Management permission: Users who are not approvers can be granted management permissions for approval data through role assignment.
- Regular users: Users without special permissions can only view the download area lists they have permission for.
Notes
- Staging area data is intermediate data for approvals. Do not store unrelated files here.
- Deleting data in the download area is irreversible. Use with caution.
- Staging area periodic cleanup policies must be configured by administrators in the approval policy.
